1.Who is responsible
IntelliSphere Cloud, Nairobi, Kenya, is responsible for personal data collected through intellisphere.cloud. We handle it in line with Kenya's Data Protection Act, 2019 and its regulations.

2.What we collect

Please don't send passwords, payment card numbers, ID numbers or health information through our forms.
3.Why we use it, and our legal basis
- Replying to enquiries and preparing proposals: to take steps you asked for before a contract, and our legitimate interest in running the business.
- Sending the newsletter: your consent. Every email has an unsubscribe link.
- Keeping the site secure and free of spam: our legitimate interest in protecting the site and the people who use it.
- Analytics: your consent, which you can withdraw at any time.
We do not sell or rent personal data, and we do not use it for advertising.
4.Who we share it with
We use a small number of carefully chosen service providers who process data only on our instructions and under data protection terms:
- Website hosting: serves the site and keeps short-lived request logs.
- Spam protection: checks that form submissions come from a person, not a bot.
- Email delivery: sends our replies and confirmations, and stores newsletter subscribers.
- Google Analytics: only if you accept analytics cookies.
You can ask us for the names of these providers at any time.
We may also disclose data if the law requires it, or to protect our rights in a dispute.
5.International transfers
Some of these providers store or process data outside Kenya, including in the United States and the European Union. We only use providers that offer appropriate safeguards, such as contractual data protection terms, as required by section 48 of the Data Protection Act.
6.How long we keep it
- Enquiries: up to 24 months after our last contact, unless they become part of a client project.
- Newsletter: until you unsubscribe.
- Hosting and security logs: as set by our providers, typically 30 days or less.
- Analytics: 14 months in Google Analytics.
7.Your rights
Under the Data Protection Act you have the right to be told how your data is used, and to:
- see the personal data we hold about you;
- have it corrected or deleted;
- object to or restrict how we use it;
- withdraw consent, for example by unsubscribing or changing your cookie preferences;
- receive a copy in a portable format.
Email info@intellisphere.cloud to make a request. We reply within 14 days. If you are unhappy with our response, you can complain to the Office of the Data Protection Commissioner at odpc.go.ke.
8.Security
The site is served only over HTTPS. Forms are protected against automated abuse, and access to our email and hosting accounts uses multi-factor authentication. No system is perfectly secure; if a breach affects your data, we will notify you and the Data Commissioner as the law requires.
9.Children
Our website and services are for businesses. We do not knowingly collect data from anyone under 18; if we learn we have, we will delete it.
10.Changes to this policy
We will update this page if our practices change, and revise the "last updated" date. Significant changes will be highlighted on the website.
